Privacy Policy for Mak Canadian Immigration Services

1. Our Commitment

At MAK Canadian Immigration Services, your privacy matters to us. This policy explains, in plain language, what information we collect, why, how we protect it, and the choices you have.

We follow Canada’s federal privacy law (PIPEDA) and the rules of the College of Immigration and Citizenship Consultants (CICC). This policy is part of every service agreement we sign with our clients.

3. What We Collect

We ask only for what we genuinely need to do your immigration work. Depending on your matter, this may include:

  • Your name, date of birth, address, phone, and email
  • Government-issued ID (passport, driver’s licence, PR card)
  • Your immigration history and IRCC correspondence
  • Family details where relevant to the application
  • Education, employment, and financial details where the application requires them
  • Supporting documents the application requires
  • Our communications with you

4. How We Use It

We use your information only to:

  • Provide the immigration services you’ve retained us for
  • Communicate with you about your file
  • Issue invoices and receipts
  • Meet our obligations to the CICC and to applicable law

We do not use your information for marketing or sell it to anyone, ever.

5. Consent

When you sign our service agreement, you agree to the practices described in this policy. You can withdraw your consent in writing at any time, though doing so may affect our ability to continue working on your file. We’ll discuss the impact with you before it takes effect.

6. The Tools We Use

Like every modern professional firm, we use trusted technology to do good work for you. This includes secure cloud storage, email, online booking, payment processing, accounting software, document review and drafting tools, and digital signatures.

A few important points:

  • We use established, industry-leading service providers (such as major cloud and software platforms used by professional firms across Canada) with strong security and confidentiality practices.
  • Your RCIC reviews and approves the work that goes to IRCC.
  • The protection of your information rests with us, end to end, we remain accountable wherever and however your information is processed.
  • We never sell your personal information.

7. Keeping Your Information Accurate

We do our best to keep your information accurate and current. Accurate information helps us serve you well. Please let us know promptly if any of your details change, your address, phone, email, or anything else relevant to your file, so we can keep your records up to date.

8. How We Protect Your Information

Your file is kept in secure electronic format only. There are no paper files. Our protections include:

  • Encrypted, password-protected, and access-controlled systems
  • Multi-factor authentication
  • Encrypted backups
  • Staff access limited to what’s needed, with the same confidentiality duty as your RCIC
  • Secure deletion when files are closed and the retention period ends

We review our practices regularly.

9. How Long We Keep Your File

We keep your file for the period the CICC requires, then securely destroy it.

10. Our Website and Cookies

When you visit our website (makimmigration.ca), we may collect basic technical information, such as your general location, the pages you visit, and how you found us, to help us improve the site and understand what’s useful to visitors. This information is not used to identify you personally.

You can adjust your browser settings to control cookies. Doing so will not affect your service if you’re already a client.

11. Family Members and Minors

Many immigration applications involve family members, including children. Where a parent or guardian provides information about a minor as part of a family application, we treat that information with the same care as the rest of the file. Our services are intended for adults; we do not knowingly collect personal information directly from children.

12. Your Rights

You have the right to:

  • See the personal information we hold about you
  • Ask us to correct anything that’s wrong
  • Withdraw your consent
  • Reach out with any concern

13. Questions or Concerns

If you ever have a privacy concern, please tell us first by emailing info@makimmigration.ca. We take it seriously and will respond within fifteen business days.

You also have the right to contact Canada’s Office of the Privacy Commissioner or the College of Immigration and Citizenship Consultants directly about any privacy matter.

14. If Our Practice Changes

If MAK Canadian Immigration Services is ever transferred to a successor practice, merged with another firm, or otherwise reorganized, your file may transfer with it so that your representation continues without interruption. Any successor will be bound by the same privacy commitments described in this policy, and you’ll be notified of any material change.

15. Updates to This Policy

We may update this policy from time to time. The current version is always at www.makimmigration.ca/privacy. For material changes, we’ll notify active clients by email.
